How to share Outlook availability with people outside your organization
Outlook lets you share your calendar with a person or publish it as a link. Your organization's settings determine whether either option works.
How do I share my Outlook calendar with one person?
In Outlook on the web, you share a calendar with a person by name or email address and choose a permission. Microsoft describes the narrowest permission as follows: “Can view when I'm busy lets them see when you're busy but doesn't include details like the event location.” Microsoft Support: Share your calendar in Outlook on the web, fetched October 8, 2026.
How do I publish my Outlook calendar as a link?
In Calendar settings, open Shared calendars. Under Publish a calendar, choose the calendar and how much detail people can see, then select Publish. Microsoft says an HTML link opens your calendar in a browser, and an ICS link adds your events to the other person's calendar without later updates. Why can't I share my work calendar outside the company?
Microsoft says: “Calendar sharing may not be available for your account, or may be limited to people in your organization, depending on your organization settings.” Many companies also block outside apps from reading a work calendar. How does OpenCal show my Outlook free times?
OpenCal gives you one link with your free times from Outlook, Google Calendar, iCloud and Teams. Anyone who opens the link sees only open times. A person who signs in sees the times that work for both of you and can book one. If your company does not let OpenCal connect to your work calendar, open the Teams or Outlook week view and use Read from screen. You pick the window, and the page reads the busy blocks. The screenshot never leaves your browser. OpenCal stores only the busy times, encrypted. You press Read from screen again when your week changes.
What does it cost?
OpenCal is free.
